My list of topics for this message is long and varied, so I have selected the one that I believe to be of highest priority in preparation for our elections in July. The position of VP Clubhouse is one of the Board positions which will be voted on at our July Special meeting at Wolf Hollow. I have previously included an outline of each of the offices as they are currently structured, but have given thought to VP Clubhouse, as it is so very broad in scope, and suggest the following: a team of appointments to cover the elements of the position which will include a member who manages reservations at the Clubhouse, a member who acts as hosting coordinator, a member who oversees cleaning and restocking at the Clubhouse and a member who oversees contract negotiations and oversight of contracts. The functions of our SWC Clubhouse necessitate year ‘round attention and a new approach to continue accessibility, as we currently know it. I am very aware that every organization any of us belong to have the same lament - that there are no volunteers and that is why I am proposing a restructuring of this Board position. I would love to hear suggestions, comments and alternative proposals, if you have them. Nominations for all Board positions can be made prior to or at the July 15 membership and special meeting. We are part of a legacy worthy of continuance, but “it takes a village.” Let me know what you think.
PRESIDENT - the President shall superintend the business of the clubland at all meetings of the Board of Directors. He shall be responsible for all documents of value, and other property belonging to the club. He shall be Chairman of the Board of Directors and a member of all committees.
ADMINISTRATIVE VICE PRESIDENT - The Administrative Vice President shall assist the President in administering the affairs of the club. He shall act as the President when the President is absent. He shall attend to membership, public relations, programs, communications, inter-club co-ordination and shall appoint committee chairs to assist in these areas.
ACTIVITIES VICE PRESIDENT - The Activities Vice President is responsible for all activities of the club. These activities shall include: alpine skiing, Nordic skiing, cycling, snow shoeing, tobogganing, ice skating, picnics, float trips, non-canoe sailing, other non-paddling, warm weather activities, social events, recreational area operation and maintenance, trips, and other special events. He shall appoint committee chairmen to aid in these areas.
PRESIDENT, NORTHERN NEW YORK PADDLERS - The President, NNYP shall be responsible for all activities of the club involving paddling, including liaison with other paddling associations and clubs. NNYP will provide services to members and others in the community in all areas of paddling. He shall appoint committee chairmen to carry out NNYP programs.
PRESIDENT, MOHAWK VALLEY HIKING CLUB - The President MVHC shall be responsible for all activities of the club involving hiking including liaison with other hiking clubs and associations. MVHC will provide services to members and others in the community in all areas of hiking. He shall appoint committee chairmen to carry out MVHC programs.
SECRETARY - The Secretary shall keep careful and complete records of the meetings of the club and Board of Directors. He shall receive and transmit communications for the officers of the club, Board of Directors, and other clubs.
TREASURER - The Treasurer shall be responsible for all funds of the club. He shall receive all income due the club, and shall make expenditures only with budget authorization, approval of the Board of Directors, or within the limits prescribed in the by-laws. He shall keep full and accurate accounts, making reports at the end of the fiscal year to the Board of Directors. He shall prepare any financial reports required by law.
VICE PRESIDENT CLUBHOUSE - The Vice President Clubhouse shall be responsible for all matters pertaining to the SWC Clubhouse, including maintenance, usage by members and any other actions necessary to maintain a safe and accessible environment for members. He will nominate committee chairmen as needed with approval by the Board of Directors.
